Important information for the June/July Examination season

All students must pay attention and be aware of the following:

The same rules apply to sit-down and online examinations; exceptions will be indicated.

c) For students with special needs who require support:

  • For general queries related to concession applications, send an email to the following address: [email protected]
  • Students who obtained approval to write their examinations at the Disability Unit can also request general information regarding the kind of support (concession letters, assistive technology) they might need by sending an email to [email protected]
  • Download and complete the concession letter for 2024 by clicking on the following link: Disability Unit Walk-In/Consult Form – this form must be provided to the relevant lecturer and Course Coordinator at least 10 days before the start of the scheduled examination.

Access to campus (sit-down and online examinations)

  • Sit-down examinations: It is recommended that students arrive at the campus entrance gates at least 60 minutes before the start of the examination.
  • Online examinations: students are advised to set up in a quiet and well-lit room with no disturbances and to log on at least 10 minutes before the start of each examination session to ensure that everything is working well.

Late arrival: 

  • Students writing sit-down and online examinations will be allowed to start the examination if they arrive at the venue within 30 minutes after the start of the examination. In these instances, students will not be allowed any additional time to complete the examination.
  • No student may enter the examination venue later than half an hour after the commencement of an examination session. 
  • No student may leave the examination venue earlier than half an hour after a test or examination session commences. 
  • In the case of on-campus online assessment, a student may not enter the venue after the punctual commencement of the examination session. 
  • All students must access the campus using a valid student card. (Note: Passport documents will not be accepted as an alternative to gain access to the campus).
  • Staff members are not allowed to assist students in gaining access to the campus as passengers in their vehicles. All occupants in a vehicle, in addition to the driver, will be required to present their student or staff card to access the campus.

​Access to the examination venues

  • It is recommended that students arrive at the examination venues at least 30 minutes before the start of the examination.
  • Only students qualified to write an examination will be granted access to the specific venue on the presentation of a valid student card or ID as a form of identification.
  • The student cards will be scanned at the entrance of each examination venue, and the information will be retrieved as attendance registers for each examination session.
  • For sit-down examinations, the examiner or invigilator will place the answer sheets and question papers upside down on the students' desks. They will be instructed to turn over the question papers when it is time for the examination to start.

After completing the examination, the answer sheets must be placed in the boxes at the front of the examination venue. The invigilators will count the answer sheets to ensure they match the number of students in the examination venue.

Accessories: Bags, bottles, stationery, additional material/equipment

  • NO bag check-in facility will be available.
  • NO bags/satchels will be allowed in the examination venue.
  • Only stationery in transparent bags may be taken into the venue. Students must bring their own transparent plastic bags.
  • Mobile phones must be switched off and put in transparent plastic bags, placed under the student's chair.
  • No smart watches allowed in the examination venues
  • Students must not bring additional material or equipment to the examination venue.

NB: The University will not be held responsible for the loss of or damage to any bag, including the contents thereof or equipment. Students are solely responsible for their bags and equipment.

Loadshedding:

  • In the event of load-shedding during a sit-down examination, students must follow the instructions of the Chief Invigilator, Invigilator, or academic present.
  • If an online examination is interrupted by loadshedding, students must obtain an affidavit from the police station and proof of loadshedding from the Eskom or municipality website. This information must be submitted to the relevant Faculty to apply for a special examination written during the Supplementary examination period. If the same challenges are experienced during the Supplementary examination, students must immediately contact their respective faculties for assistance.
  • The following venues have been set aside for registered students to write online examinations when they are affected by load-shedding: the IT 2-23 building on Hatfield Campus, Aldoel 1 Building on Groenkloof, and C1 building on Mamelodi Campus.

Additional information

  1. Consult G14 and G28, as well as your lecturer regarding arrangements for the perusal of examination scripts.
  2. Students who are unable to write an examination due to unforeseen circumstances or illness must apply online for a special examination. This application must be done within three days of the examination date that was not written. Click on the following link to download the form: Application form for Special Examination. Submit the completed form and original supporting documentation (including medical certificates) by logging on to the Student Portal.
  3. Students are advised to orient themselves about the location of the examination venues on the various campuses. Make use of the UP mobile app or information on the UP website
  4. Library hours:
  • Libraries and study centres will be open on all campuses during the examination period.
  • Information regarding library hours during the Final June 2024 examination period can be accessed by clicking on the following link: Library Hours

       5. IT Labs on the Hatfield, Groenkloof, and Mamelodi Campuses will be available to students.

  1. Bus services:
  • Bus services will not operate according to the normal time schedules; refer to ClickUP for the bus schedules applicable during the examination period.
  • Bus services will run between the Hatfield, Groenkloof, Mamelodi, and Prinshof campuses.
  • The bus service will be available between Sunnyside and Arcadia to the Hatfield campus; refer to the bus schedule for operating times.
  • A bus service will be available from the Groenkloof campus to Arcadia and Sunnyside after each examination session.
  • No bus service will be available from Sunnyside and Arcadia to the Groenkloof campus. Students will first have to take the bus to the Hatfield campus and then one to the Groenkloof campus. 
  1. Parking:
    • Students writing examinations on the Groenkloof or Mamelodi campuses will be allowed to park on these campuses
    • The park-and-ride facility from the Hillcrest campus will be available to students throughout the examination period. The schedule of this service can be accessed on ClickUP.
