Visiting students

Apart from the provision made for the admission of a small number of foreign students into the undergraduate and diploma programmes of the Faculty, provision is also made for a small number of visiting students in the following categories: undergraduates participating in clinical rotations, undergraduates who are registered for formal studies of up to one academic year, undergraduates participating in clinic rotations according to specific agreements/exchange programmes, students participating in research projects according to specific agreements/exchange programmes and students attending the full final year for non-degree purposes according to specific agreements.

All visiting students must be in possession of a valid passport and appropriate permit as well as proof of acceptance in the relevant programme.

1. UNDERGRADUATE STUDENTS PARTICIPATING IN THE FINAL YEAR ROTATIONS (ELECTIVES) FOR PERIODS UP TO EIGHT WEEKS

1.1 The Faculty can accommodate a maximum of 6 students in this category at any one time for periods up to eight weeks per student with a maximum of one foreign student per clinic at any given moment in time. Only senior veterinary students will be accommodated. IVSA-supported students will be given preference. All students are formally registered as visiting students on payment of a basic registration fee and a surcharge to be determined on an annual basis. The surcharge (99%) is paid into the Faculty’s development fund and 1% is transferred to AIS. Students sign an indemnity form indemnifying the University from any injuries or accidents sustained during the visit. All arrangements with regard to the visit as well as registration, indemnification, etc are handled by the Head: Student Administration in association with the IVSA Exchange officer of the OPVSC.

1.2 Visiting students will be required to clearly indicate arrival and departure dates as well as their specific interests well in advance in order for a suitable programme to be finalised before arrival. Confirmation of academic status and/or language proficiency may be required as deemed necessary. The application should include the following:

(i) A certified copy of an identity document.

(ii) A letter of recommendation by the Dean of the Faculty in which the academic status of the student is also confirmed.

(iii) An indication of what the student/Faculty expects from such a visit.

1.3 A suitable timetable will be finalised through the Office of the Head : Student Administration in liaison with the various participating clinics (including the Matron and Director of Clinical Services) and module coordinator/Head of Department, with due cognisance of internal requirements and constraints.

1.4 Accommodation in the residence can be arranged if rooms are available. The normal fees as prescribed are applicable as well as the relevant rules and regulations as determined by Residence Affairs and Accommodation and managed by the House Committee.

1.5 All arrangements must be made prior to departure for South Africa. Written confirmation of acceptance must have been received before departure and a valid study/work permit must have been obtained before such departure.

1.6 The Head : Student Administration will introduce the student to the relevant clinician on duty or sister in charge on first arrival. The relevant sister in charge will introduce the student to the next clinician on duty or sister in charge.

1.7 Students will be placed according to their interests as far as possible although placements can not be guaranteed.

1.8 Students wishing to deviate from the published programme will only be allowed to do so if arranged and confirmed through the Office of the Head : Student Administration. Clinics are attended for periods of a minimum of one week and changes should be negotiated and finalised before the beginning of the subsequent week. Frequent changes of clinics at short intervals are not permitted. Students may spend longer periods in a clinic (even the full eight weeks) but only after prior arrangements through the Office of the Head : Student Administration.

1.9 Students join in with the normal clinic rotations and conform to all the normal clinic routines and regulations (including dress regulations) as laid down by the Veterinary Academic Hospital and/or academic department involved.

1.10 Lecturers on clinic duty assess the students’ level of knowledge and capabilities and on this basis can involve students in procedures and/or give them their own cases if they see fit.

1.11 Visiting students are issued with a “tag” denoting them as visiting students and should wear this while on clinics.

1.12 Visiting students carry with them a form issued to them by the Head : Student Administration. This form again identifies the student as a formally registered visiting student and makes provision for the entry of dates of attendance at different clinics, the signature of the attending clinician and a column for a brief comment by the clinician on the student’s performance.

1.13 Visiting students are advised to choose an English or mixed-language group if possible.

1.14 Local students will have priority with regard to the allocation of cases for teaching purposes.

1.15 Placement in this programme is for experiential training purposes only and no remuneration is involved.

2. UNDERGRADUATE STUDENTS REGISTERING FOR A PERIOD OF UP TO ONE YEAR FOR BVSc MODULES FOR NON-DEGREE PURPOSES

2.1 The Faculty can accommodate a maximum of three visiting students per year of study.

2.2 Students who wish to register for BVSc modules must apply by letter before the end of July in the year preceding such a visit, and the following documents/information must accompany such an application:

(iv) A certified copy of their identity document.

(v) A full academic record of subjects attended/passed in their Faculty.

(vi) A letter of recommendation by the Dean of their Faculty.

(vii) An indication of what the student/Faculty expects from such a visit.

2.3 The Dean in consultation with the Deputy Dean/Senior professor will serve as selection committee and may lay down specific conditions when accepting such a student.

2.4 Students will be required to register for the specific modules of a particular year of study as approved by the Dean. They will be required to meet all the applicable rules and regulations and will be required to sit for tests and examinations.

2.5 Students in this category will be required to pay the normal academic fees and surcharges levied by the University.

2.6 Accommodation in the Students’ Residence can be arranged if rooms are available. The normal fees as prescribed are applicable as well as the relevant rules and regulations as determined by Residence Affairs and Accommodation and managed by the House Committee.

2.7 Visiting students are required to adhere to the general rules of the Faculty and specifically to the dress regulations.

2.8 Certificates of attendance together with an academic record may be issued at the conclusion of the visit as required.

2.9 The Faculty has the right to terminate a student’s visit at any time, should such a student be found guilty of any form of misconduct at which time no fees will be refunded.

2.10 Students attending in this category under a specific agreement will be dealt with according to the provisions of the relevant agreement.

3. UNDERGRADUATE STUDENTS PARTICIPATING IN FINAL YEAR ROTATIONS (ELECTIVES) AS PART OF SPECIFIC EXCHANGE PROGRAMMES

3.1 The Faculty can accommodate a maximum of 4 students in this category for clinical rotations at any one time for periods up to 3 months as agreed upon in the specific Memorandum of Understanding (MOU). Additional students could be accommodated in other disciplines as required in consultation with the relevant discipline.

3.2 Financial implications will be dealt with in accordance with the specific MOU.

3.3 All arrangements with regard to the visit as well as registration, indemnification, etc are handled by the Head: Student Administration in association with the Programme Coordinator of the specific MOU.

3.4 Paragraphs 1.2 – 1.15 above will also apply to these students.

4. STUDENTS ATTENDING THE FULL FINAL YEAR FOR NON-DEGREE PURPOSES

4.1 The Faculty can accommodate a maximum of 4 students in this category for the duration of the final year either in a private capacity or as part of a specific agreement with another veterinary training institution.

4.2 Paragraphs 2.2 - 2.9 above will apply to students who are allowed to register in a private capacity.

4.3 The same provisions will apply to students who are allowed to register under an agreement with another training institution with the exception of paragraph 2.5 in which case the specific agreement will determine the financial implication.
