As we start the new academic year with classes resuming on 6 February 2017, we want to provide you with the necessary information to make your arrival on campus as smooth as possible. Please take note of the individual arrangements for each of the University's different campuses below.  

 

1.1.  Access control

  • Vehicle access control
    • From 06:00 on 6 February 2017 access to the Hatfield Campus for motorists will be at the following gates:
    • Roper street entrance (Monday to Friday between 06:00 – 18:00)
    • University road entrance (24/7)
    • Lunnon street entrance (Monday to Friday between 06:00 – 24:00)
  • Pedestrian access control
    • From 06:00 on 6 February 2017 access to the Hatfield Campus for pedestrians will be at the following turn stiles:
    • Visual Arts (Monday to Friday between 06:00 – 18:00)
    • Roper street entrance (Monday to Friday between 06:00 – 18:00)
    • Lunnon street entrance (24/7)
    • Duxbury road (Monday to Friday between 06:00 – 18:00)
    • LAW/Centenary (Monday to Friday between 06:00 – 18:00)
    • Erika parking (Residence students only 24/7)
    • Prospect street entrance (24/7)
    • H17 Student parking (Monday to Friday between 06:00 – 18:00)
    • Engineering (Monday to Friday between 06:00 – 18:00)
    • University road entrance (24/7)
  • If you need assistance, feel free to contact the 24-hour Operational Management Centre at Security Services at 012 420 2310/2760, or the 24-hour UP Operational Manager on duty at 083 654 0476.
  • All student (and postdoctoral fellows) cards will be activated on commencement of classes on 6 February 2017 provided that the students are registered. Students who are not registered by 6 February 2017 will remain de-activated until their date of registration. Should these students need access to campus, they must make arrangements with their respective Faculties for the cards to be re-activated on the access control system or loaded on the scanners. Students who are not yet registered and cannot do so online, must contact their relevant faculties as per the table below to assist them with registration.
  • All registered students will be given access to the campus, including students who have registered but have not yet collected their student cards.  Student cards can be collected from the SSC. Students need to bring their IDs to ensure that that they can be scanned at the gates.
  • Students who are not registered by 6 February 2017 will not be able to access the campus until they have registered or made arrangements with their respective Faculties.
  • Scanners will be used to control access at all access points (both vehicle and pedestrian). All individuals to be scanned, including passengers and contract workers. Students must carry their student cards/IDs/Passports at all times, and they may be requested to present these at any time.
  • Staff will be screened at the gate to the campus and will gain admission to the campus upon presenting their staff cards.
  • Access for visitors and contractors must be approved by faculty deans and/or directors and approved names to be submitted to campus security.

1.2. People with disabilities: (Student affairs)

  • Accessible gate at Prospect Street gate will be open for students with disabilities, especially those who are in wheelchairs.
  • South Street gate (behind Law and Centenary) will be open for blind students and those with guide dogs.

1.3.   Access cards

Returning students and contractors retain their 2016 cards during 2017 until such time as the new smart access cards can be issued. More info on the new smart cards will follow.

Card issuing

Once a student has registered, it may take up to 24 hours before a student card can be issued. As a result, students may have to return the next day to be issued with their cards.

Dates / Timelines

  • Registration services will be available at the Sports Campus from 18 January 2017 to 10 February 2017.
  • Lectures commence on 6 February 2017 for all students.
  • From 13 February 2017, students will be able to register on the Hatfield Campus after completing the registration procedures online or having made arrangements with their faculties.
  • SSC will be open from 13 February at Hatfield with full services.
  • Access for late registrations/problem cases must be arranged by Faculties and will be scanned at the gates (IDs). Should an access card not read at a gate / scanner or a card is lost, runners will be available to direct students to the SSC to assist the owner of the card to resolve the matter.
  • Contracts can be placed in boxes at the turnstiles and handed in at SSC.

1.4. Groenkloof Campus

Access control

Vehicle and pedestrian access: Leyds Street main gate and turnstile open and checking procedures (scanning) in place.

1.5. Mamelodi Campus

Students will be screened at point of entry:

  • Tuks Naledi residents will be screened at the buses at Tuks Naledi.
  • Commuting students will be screened at the buses on the Hatfield Campus.
  • Students travelling on foot will be screened at the gate to the campus.

Parking:

  • Students must park in the allocated open parking areas in front of the Mae Jemison US Science Reading Room.
  • Park & ride buses from Hatfield Campus to Mamelodi must park in the open parking areas in front of the Mae Jemison US Science Reading Room.

 

2. RESIDENCE AFFAIRS AND ACCOMMODATION

2.1. Accommodation Enquiries

  1. Students are to enquire at the SSC - DESA and must only be referred to Duxbury road in exceptional cases.
  2. Students with accommodation enquiries (exceptional cases) must report at the Duxbury pedestrian gate where they have to swipe their student cards i.e. they have to be registered students.

2.2. Students Moving in and Registration

Students are expected to be registered by 3 February 2017. Should they not be registered by this date, they will be instructed to vacate their rooms to pave way for registered students to be placed.

 

3. LIBRARY SERVICES

  1. Normal library opening hours in table below.
  2. Opening hours 6 Feb – 17 Feb are as follows: 07h00 to 18h00 Monday to Friday. The Library will be closed on Saturdays and Sundays.

4. POSTGRADUATE STUDENTS (Masters, Doctoral and Postdoctoral fellows)

4.1. Postgraduate students and postdoctoral fellows

The following applies to:

  • M and D postgraduate students
  • postdoctoral fellows,
  • temporary researchers, (see NOTE below) and
  • key research technical staff.
  • NOTE: All persons who visit UP campus for short-term observation, who are not bona fide visitors to the department, but will either attend or observe a few hours of class or any academic teaching or research, or participate in any research, have to be captured in PeopleSoft and registered as “Elective Students” and get the necessary access card for this category. They will also have a student account and need to pay their admin fee of R2200 (2016 fee) and in some cases also any additional fee the faculty has for their activity to make use of our facilities.  ISD can advise if help is needed.

IF M and D POSTGRADUATES AND POSTDOCS ARE NOT REGISTERED BY 6 FEBRUARY 2017 THEN:

  • They should go to the Sports Campus to register between 6 and 10 February
  • To register after 10 February, see process below, and table 3 for assistance.

PROCEDURE TO BE FOLLOWED after 10 February 2017

Students and fellows must be assisted by the relevant Faculty administrative offices to register and their cards will be activated on registration. 

(See table below for unregistered postgraduate and postdocs to contact faculty or relevant office)

Postgraduate students and postdoctoral fellows, and other short-term elective students who are not yet able to register, will be allowed to enter the campus (arrangements made with relevant Faculties) to conduct specific work required for completion of their research programmes, to access laboratories where they need to conduct experimental work, and to maintain experimental materials and facilities.

In addition, please note the following:

Postgraduate students  (M and D) and postdoctoral fellows will only be permitted to enter the campus upon presentation of their previous student card (and new students with ID/passport/ student card) to the security staff at the gate, and as long as arrangements have been made by relevant Faculty while still finalising their registration. 

Students must carry their student cards/ID/Passport, at all times, and they may be requested to show these at any time.

 

4.2. Registration assistance after 10 February

Students who need to register after February 10th (due to late arrival) must register online and/or contact their Faculty Administration offices by phone or electronically and make arrangements for assistance that may be needed.  See table below with the contact information for the faculties and support services in this regard.

4.3. Dates for postgraduate registration

  • New postgraduate registration must take place on the following dates:
    • Masters: 23 January to 28 February
    • Doctoral: 23 January to 28 February
