UPICLC 2020 Virtual Conference Protocols
HOW THINGS WILL WORK
Protocols for Presenters and Attendees of the University of Pretoria International Consumer Law Conference 2020
GENERAL
- The entire conference will take place virtually this year – over Zoom.
- It is not necessary to install the Zoom program on your computer to access the virtual sessions. All you need to do is follow the relevant links. However, we encourage you to check whether Zoom works on your device. Feel free to contact us if you require assistance.
- A day or two before the conference begins, we will send you information regarding the links to be followed to join the different sessions on Zoom.
- Please check your emails as well as our website (https://www.up.ac.za/cf-upiclc2020) regularly during the days leading up to the conference.
- Since we will have parallel sessions running at the same time, you are welcome to move between the different sessions by simply leaving one session and clicking on the link for the other. However, please ensure that you do so in a way that does not disrupt the speakers. For instance, ensure that your microphone is switched off.
INFORMATION FOR PRESENTERS
- Please strictly remain within the time limits indicated on the programme. In order for things to run smoothly, we cannot permit speakers to go over their allocated time.
- If you plan to use PowerPoint slides, you can show your slides yourself, by sharing your screen during your presentation. Ensure that you know how to do this. Alternatively, the chair of the session can share the slides on your behalf.
- Kindly send your slides to the conference organisers in advance in case we need to show them on your behalf.
- Ensure that you have a stable internet connection for the entire period in which you are scheduled to speak.
- Check your video, microphone and speakers in advance, so that everything is ready for your presentation.
- To allow attendees to hear you clearly, please speak slowly and clearly into the microphone.
- Kindly keep your camera on during your presentation. We would very much like to see you when you present.
- Please ensure that you are online at least 15 minutes before your presentation is scheduled to begin.
INFORMATION FOR ATTENDEES
- Please keep your microphone switched off at all times, except for when you are presenting a paper or posing a question.
- Please switch your microphone off before (or as soon as) you enter a session.
- If you have questions, kindly do not interrupt the speakers while they are busy with the presentation. There will be a time set aside for questions and answers.
- You may pose questions via the chat function on Zoom. The chair will then either pose the question to the speaker, allow you to ask it or otherwise open the floor for questions.
- Kindly keep your questions as brief as possible. If we do not get to all the questions during the session, we will arrange for answers to be posted afterwards and/or for additional engagement with the speaker.
- You are welcome to keep your camera on during the sessions, but you may also switch it off if, for instance, you have connectivity issues.
