PSANA EXCO Meeting
7 June 2004

1. Meeting with departmental representatives
a. Only 3 of 16 representatives arrived for the meeting and only 3 of the executive committee were present. Paula will reschedule the meeting for 14 June at 12:30 in FABI Auditorium 1. Ronald will book the venue.

2. PSANA meetings
a. The minutes of the every meeting should be signed by the president and secretary at the next meeting.
b. The minutes need to be sent out earlier and all EC members are expected to look at it as soon as possible.
c. Please send out a reminder of a meeting one week before.
d. The agenda should also be sent a week in advance.

3. PSANA Open Day
a. Venue
- Career Enterprize already booked the Sanlam auditorium. The other possible venues are Sefm, AE du Toit or Theron hall. Prof. Stroh will help us with getting a venue.
b. Help with Open Day
- Farm City said they will help with the wine at the PSANA Open Day.

c. Sponsorships
- PSANA received R 500 from Inqaba and R 1000 from PPS.
- Craig is still waiting for a response from Merch. PSANA Nat-house asked Merch to sponsor 250 T-shirts (R20 000)
- Standard Bank and ABSA can not accepted the letter we sent, asking for sponsorships. The letter must be from administration of University of Pretoria. Marie will help PSANA to obtain a letter from administration.
d. Pizza and Wine
- The cheese and the wine with the Open Day will change to Pizza and wine. We can get pizza from Romans or the Cafeteria in the Student Centre. Freddie will get a quotation from Romans and the student centre pizzeria.
e. Braai
- The braai after the pizza and wine will depend if the venue at Groenkloof is finished.
f. Bursaries
- Bursary of the faculty - Prof. Stroh will first meet wit Prof. Crew and thereafter come back to Freddie.
- Unlimited 2000 will not give a bursary

4. NATHouse T-shirts
a. Melissa, René, James M and Bernice should give R80 for Craig to receive their T-shirts. The rest of the committee members already have T-shirts and have paid.

5. Social
a. Action cricket
- 8 Action cricket teams played in the action cricket. It went very well and everyone enjoyed it very much. Craig is going to try to have 10 teams for the next action cricket game and a team cannot cancel in less than 5 day before the time.
b. Tenpin bowling
- The Genetics honours students advice that we should start with tenpin bowling. Craig will look further into it.

6. Listserver
a. Minutes on biolpost
- There was a concern from a PSANA member that PSANA don’t have any meeting because the minutes are not send via biolpost. The last minutes of a meeting were sent in 1999. PSANA decided only to send the headlines of the minutes in the future. If a member want more information, he a contact the PSANA committee.
b. Membership
- Any final year undergraduate student or full-time staff member of the Faculty of Biological and Agricultural Sciences or exco members can become affiliated members
- It is necessary for every departmental representative to give the names of the students of the specific department for PSANA membership.

7. Constitution
a. Amendment of constitution
- In Article 9: “This constitution may be amended only during an Annual General Meeting of The Association and by two-thirds majority vote of the members present”. However, PSANA do not have an Annual General meeting, however this may not be a problem since the constitution is not legal.
b. Construction and registration
- There is a studentbody on campus that helps in the construction and register of the constitution. Freddy will come back with more information.

8. Update
a. Please update the other PSANA committee members on a weekly basis if you are busy on a specific topic.

9. PSANA poster layout
a. PSANA can perform the poster layout by ourselves but there are certain requirements. There should be a diagonal line through the middle or the logo of the Innovation Generation.
Craig will get a quotation on the structure on which a flag can be advertise

10. PSANA committee braai
a. The braai will be on 10 July at 13:30. The braai will possible be at Uitspan (near the tennis courts). Ronald or Marelize will ask Lorenzo to book the venue.

11. Job offers
a. If there are any urgent job offers, James Mehl will check the job offer out by himself and send it out on biolpost.

12. Next meeting
a. The next meeting will be on 5 July at 16:00 at Lunnons. Paula and René send an apology for not attending the meeting.
