PSANA EXCO Meeting
14 March 2005

1. Acceptance of previous minutes
The previous minutes was accepted by all the committee members

2. Nat House problems
Freddy is the new president of the Nat House. Marelize didn’t know that Freddy was appointed as the new president of the Nat House when she had a meeting with the dean. However, James Roxburgh who fills the Nat House portfolio also didn’t know about Freddy appointed as the new president. Freddy gave a presentation about the new action plan of the Nat House at the bosberaad. According to Freddy, James Roxburgh is not part of the new Nat House committee and the equality of the committee is fare. The committee are 50% black and 50% white and 50% female and 50% male. There are still three positions open. Marelize will send the action plan of the Nat House by email for the committee members. Marelize will also arrange a meeting between herself, the dean, Freddy and James Roxburgh to sort out all the problems. The main problem is that there is no communication between the Nat House and PSANA.

3. Elections
The dean wants to have input in the election of the new PSANA committee. Marelize will soon send an email on biolpost for nominations for committee members. All the nominees will be interviewed and a shortlist will be compiled by the beginning of April. All the persons on the shortlist will be interviewed by the dean.

4. Complaints (bursaries)
The UP bursaries are not handle by admin anymore but is now the responsibility of the faculty. Application should be handed in at the faculty. There will be 3 submissions date per year and you can reapply if your application was unsuccessful or in your second year of studies.
There is problems with the NRF Grant holder link bursaries. The money will not be paid out before the end of April.

5. Collaboration with SAB
PSANA wants to collaborate between career week and final year symposium. All the personal at the bosberaad think the collaboration is a good idea. It is only important that be promote post-graduate studies. Melissa must see Prof. Cloete. Bernice will help Melissa with the arrangements. Bernice will get the phone number of the financial director of SAB in Watloo from James Roxburgh. Melissa and Bernice need to make an appointment with a director of SAB. PSANA will try to get a sponsorship for T-shirts and drinks.

6. SRC
PSANA decided not to have a portfolio at the SRC because there are too many politics involved. PSANA have a seat in the senate. The dean will speak to the Registrar and ask his opinion.

7. Constitution
Ronald suggest a few changes in the constitution
a) 8.2.3 Decisions are made by majority vote through the showing of hands;
All members of the executive committee have the same voting rights except the member of the portfolio for Nat House who doesn’t have voting rights.
b) 12.1.2 Vice-president (Vice-chair) and ASCC;
c) 12.1.9 Nat House representative
d) 14.2.6 Sit in ASCC meetings
Craig suggest the following change
a) 15 Election will take in place in April. The “old” committee will train the “new” committee until September (overlapping period).
b) 15 The president of the old committee will be on the new committee as a non-participating member (helping the “new” committee).
c) 18.1 A committee member need to give a 3 month reservation warning before resignation. When an EC member resigns or his/her membership is terminated, a new EC member will be elected following standard election procedure as described under Article 15 on reservatory demand of the necessary position.
All the changes was accepted by all members

8. PSANA bosberaad (8th April)
Marelize will send a summary of the bosberaad to the committee members.

9. Report back on welcoming new post graduate students
Ronald introduced all the PSANA committee members. 45 new members register on PSANA. James Mehl and Marelize will write an email to all the new members to welcome them.
